Wayfair Supplier Insurance Requirements
Wayfair buys from its sellers, which it calls suppliers, at a base cost and asks each one for a certificate of insurance under the Supplier Partnership Agreement. Here is what that certificate needs to show and how to set up the policy behind it.
How selling on Wayfair differs from a marketplace
Wayfair calls the businesses that sell through it suppliers, and the label fits. You set a base cost for each product, which is the price at which you sell it to Wayfair, and Wayfair sets the retail price on its site and pays for shipping to the customer. Most orders are drop-shipped: Wayfair sends the purchase order to your warehouse or 3PL, and you pick, pack and send it to the customer. Suppliers without that capability can use CastleGate, Wayfair’s own fulfillment service.
That structure matters for insurance. On Amazon a third-party seller sells to the shopper and follows the marketplace’s seller rules. On Wayfair you sell to a retailer, which then sells to the shopper, so the relationship looks more like a wholesale account than a marketplace listing. Your obligations come from the Supplier Partnership Agreement you accept when you onboard.
We work with hundreds of Amazon sellers, and plenty of them add Wayfair once a furniture, lighting or home goods line proves itself. The policy they built for Amazon is the right starting point, and it usually needs a few changes before it answers Wayfair’s agreement.
What Wayfair asks for, in its own words
Wayfair’s US onboarding checklist says it requires a certificate of insurance as evidence of your coverage, tied to the financial support set out in your Supplier Partnership Agreement. Suppliers are expected to send that certificate soon after onboarding and again whenever Wayfair asks during the partnership. The UK checklist carries the same wording.
Wayfair’s beginner’s guide adds that commercial liability insurance is a common product that most major insurers write, and that any broker can produce a certificate once a policy is bound. Neither page prints a dollar limit or the exact name Wayfair wants on the certificate. Those details live in the agreement and in the instructions that come with Wayfair’s request, so read both before you order a certificate.
Treat the request as part of launch rather than an afterthought. A supplier with a policy already bound before the first product goes live can answer Wayfair the same day, while one who starts shopping after the email arrives spends the first weeks of the account chasing paperwork.
The limits and names suppliers report
Brokers who place Wayfair suppliers commonly report general liability with products coverage at $1,000,000 per occurrence and $2,000,000 aggregate, with Wayfair LLC named on the certificate. One broker guide adds that an umbrella can make up the aggregate and that the policy should have at least three months left to run when the certificate goes in. Those figures come from broker guides rather than Wayfair’s public pages, so confirm the limits and the exact entity name in your Supplier Partnership Agreement before you bind.
The name matters more than suppliers expect. A certificate that reads Wayfair, LLC with a stray comma, or that names a parent company instead of the contracting entity, is the kind of small mismatch that sends paperwork back. Copy the name and address exactly as the agreement or Wayfair’s request prints them, and ask the issuer to match them character for character.
If your current policy was written to Amazon’s $1,000,000 aggregate, the aggregate is the figure most likely to fall short. An umbrella over the primary policy is the usual way to lift it without rewriting the whole program, and it keeps one set of primary terms across every channel.
Why a vendors endorsement fits a Wayfair account
Because Wayfair buys your goods and resells them, it sits in the chain of distribution as a retailer. If a customer is hurt by a dresser that tips or a lamp that overheats, the claim can name Wayfair alongside you, and Wayfair will look to its supplier for a defense. The usual tool for extending your policy to a retailer is the additional insured vendors endorsement, ISO form CG 20 15, which responds to bodily injury and property damage arising out of your products sold in the regular course of the retailer’s business.
Ask the issuer for the endorsement page itself, not only the certificate. A certificate reports coverage, and the endorsement is what creates it for Wayfair. Our guide to additional insured endorsements explains how the two documents fit together and what a vendors endorsement leaves out, such as goods a retailer has repackaged or relabeled.
Wayfair plays the same retailer role for every other supplier on its site, so its team reviews a steady stream of certificates. Paperwork that matches the agreement on the first try keeps your account off the follow-up list.
Furniture, lighting and other categories underwriters watch
Wayfair’s catalog leans toward furniture, decor, lighting, outdoor goods and housewares, and underwriters price each of those lines on its own hazards. Dressers and chests are a clear example. Clothing storage units made on or after September 1, 2023 fall under the CPSC’s STURDY Act rule, which adopted ASTM F2057-23 for stability testing and tip-over warning labels, and an underwriter quoting a dresser supplier will ask for that test report.
Lamps and anything else that plugs in raise questions about safety listings from labs such as UL or Intertek, heat and cords. Patio heaters, fire pits and grills draw questions about fuel, flame and clearance warnings. Furniture that ships flat brings up hardware, weight ratings and assembly steps, since the instructions travel with the product and become part of a claim review.
Bulky goods also raise a property question. Stock waiting at your own warehouse, a 3PL or CastleGate is a property matter rather than a liability one, so ask how your inventory coverage treats goods at each location, and read the CastleGate terms on loss or damage before you rely on them.
Keeping the Wayfair certificate current
Wayfair asks for certificates throughout the partnership, which in practice means at every renewal and whenever its team writes. Set a reminder six weeks before the policy ends, and ask your broker for the renewal certificate and endorsement as soon as the new terms are bound.
Changing insurers at renewal is where suppliers slip. The new policy needs its own vendors endorsement naming Wayfair, and the certificate needs the new policy number and dates. Send the fresh certificate to Wayfair before the old one expires, and send it the same week to Amazon, Walmart and any other channel that holds one.
Keep one folder per channel with the insurance clause from the agreement, the current certificate and the endorsement. When an account manager asks a question, you can answer it from the folder instead of waiting on a call to the issuer.
What to send us for a Wayfair quote
Send the insurance section of your Supplier Partnership Agreement or Wayfair’s certificate request, your product list with categories and countries of manufacture, and annual sales split between Wayfair, Amazon and your other channels. Add test reports for regulated items such as dressers, lighting and children’s furniture, along with your warnings and assembly instructions.
Tell us whether you drop-ship from your own warehouse, use a 3PL or send stock to CastleGate, and whether you import the goods yourself. With that file we request one policy built to Wayfair’s agreement and your marketplace rules, and the insurer decides once it has reviewed the products and sales. A few useful answers
Common questions
Does Wayfair require insurance before I can sell?
Wayfair’s onboarding checklist asks for a certificate of insurance soon after onboarding and again whenever Wayfair requests one. Have the policy bound before your first product goes live so the certificate is ready when the request arrives.
What liability limits does Wayfair ask suppliers to carry?
Wayfair’s public pages leave the figure to the Supplier Partnership Agreement. Broker guides commonly report $1,000,000 per occurrence and $2,000,000 aggregate, so check that against your own agreement before you bind.
Whose name goes on a Wayfair certificate of insurance?
The Wayfair entity your agreement names, spelled exactly as printed. Broker guides report Wayfair LLC. Ask for the vendors endorsement as well, since the certificate alone does not add Wayfair to the policy.
Can my Amazon seller policy cover Wayfair too?
Yes, once its limits meet Wayfair’s agreement, it adds Wayfair as an additional insured and your Wayfair sales appear on the application. The aggregate is the figure to check first.
Do I still need product liability if CastleGate ships my orders?
Yes. CastleGate handles fulfillment, and the liability for products you make or import stays with you. Check separately how your inventory coverage treats stock held there.
